Walmart Marketplace rewards sellers who run their account consistently: on-time delivery, complete listings, competitive prices, and quick responses. None of it is complicated, but it's easy to let slide when Walmart is your second or third channel. This checklist turns Walmart's own documentation into a routine you can hand to a team member (or check an agency against).
What "Walmart Marketplace management" actually covers
- Account and compliance: onboarding, tax and payment setup, policy compliance
- Seller performance: delivery, cancellations, tracking, responsiveness, returns
- Catalogue: item setup, listing quality, variants, GTINs
- Pricing and Buy Box

Before you start: onboarding requirements
Walmart's seller registration guide (updated February 2026) lists what you need to apply:
- A business tax ID or business licence number. Social Security numbers are not accepted.
- Documents verifying your business name and address
- A history of marketplace or ecommerce success
- Products with GTIN/UPC (GS1 company prefix) numbers, or an approved GTIN exemption for private label or handmade items
- A catalogue that complies with Walmart's Prohibited Products Policy
- Fulfilment through WFS or another US B2C warehouse with returns capability
Onboarding runs in five steps in Seller Center: verify your business, choose a payout method (a third-party payment processor), add market details, configure shipping and returns, and set up your catalogue. Business verification takes from a few minutes to two business days, according to Walmart. New sellers go through a New Seller Payment Hold whose length depends on country of incorporation.
Selling from the UK or another country? Walmart accepts international sellers incorporated in supported countries, with extra verification documents. Walmart has actively recruited UK sellers, for example at its August 2025 UK Seller Summit. You still need a US fulfilment and returns solution (WFS or a US warehouse).
Daily checklist
- Orders: acknowledge and ship new orders within your promised handling time. Upload valid tracking for every shipment.
- Cancellations: avoid seller-initiated cancellations. Most come from inventory that is out of sync across channels.
- Customer and Walmart messages: respond promptly. Seller responsiveness counts toward Pro Seller tiers.
- Returns and refunds: process return requests on time and note the return reasons.
- Performance alerts: check Seller Center notifications for performance warnings. If you use the API, subscribe to performance webhooks.
- Inventory: confirm stock on your top sellers so they don't go unpublished or lose the Buy Box.
Weekly checklist
Listing quality
Walmart's Listing Quality dashboard (Seller Center › Growth) scores your catalogue and individual items across:
- Content & Discoverability: item name, description, key features, images, and searchable attributes such as brand, part number, colour, and size
- Offer: how competitive your offer is
- Ratings & Reviews: review count and average rating
Each week:
- Sort by revenue-weighted opportunity and fix the top 10–20 items first
- Fill in missing attributes, especially the ones shoppers filter by
- Improve images and key features on items with high traffic but low conversion
- Check for unpublished items and fix the reason (content, pricing rule, compliance)
Pricing and the Buy Box
- Review the Pricing Insights dashboard for price-competitiveness scores, Buy Box win rates, and Walmart's suggested prices
- Use Repricer strategies for items where competing offers change often, with minimum prices set from your margins
- Generate an Item Report to see competitor prices, unpublished items, and Buy Box eligibility at SKU level
- Watch for pricing-rule violations that can unpublish an item
Advertising (Walmart Connect Sponsored Search)
Walmart's self-serve ads for Marketplace sellers run through Walmart Connect, which you access with your Seller Center login. Sponsored Search offers three formats: Sponsored Products, Sponsored Brands, and Sponsored Videos. There are no setup or monthly fees; you pay per click. Sponsored Products promote individual items and generally require the item to be published, in stock, and winning the Buy Box. Sponsored Brands and Sponsored Videos have additional eligibility rules. Each week:
- Review spend, clicks, conversion, and return on ad spend by campaign and item
- Add winning search terms to manual campaigns; negate irrelevant ones
- Pause ads on items that lost the Buy Box or went out of stock (they'll underdeliver or waste spend)
- Shift budget toward items with strong listing-quality and Offer scores. Ads can't fix a weak offer.
Monthly checklist
Pro Seller tier review
Walmart's Pro Seller program has three tiers. According to Walmart's Pro Seller page, eligibility criteria are:

All tiers also require more than 100 orders in the past 90 days, at least 90 active days, and compliance with all Marketplace policies. Benefits grow by tier. For example, Walmart lists a 5% (Advanced) and 10% (Pro) referral-fee discount on qualified "Pro Listings", plus the Pro Seller badge at the top tier.
Each month:
- Check which tier you qualify for and which single metric is holding you back
- Make a one-metric improvement plan (for example, shipping speed through WFS or faster carrier options, or content quality through the Listing Quality dashboard)
Fulfilment mix: seller-fulfilled vs. WFS
You can fulfil orders yourself (Walmart's Simplified Shipping Settings, with discounted labels through Ship with Walmart), use Walmart Fulfillment Services (WFS), or combine both.
- Review which SKUs would gain the most from WFS: fast movers, items where shipping speed is holding back the Offer score, and items competing on 2-day delivery
- Estimate WFS costs with Walmart's WFS cost estimator before moving stock
- Check ship-from location accuracy and carrier method accuracy for seller-fulfilled orders (both are tracked metrics)
Walmart recommends WFS to new sellers and reports that items with "Fulfilled by Walmart" and "2-day shipping" tags saw 50% GMV growth on average (Walmart first-party data, June 2024–June 2025). Treat that as Walmart's own claim, not a guarantee.
Reporting and catalogue growth
- Review performance over 30- and 90-day windows: GMV, units, conversion, ad spend and ROAS, returns, and fee impact
- Check the Assortment Growth dashboard for items Walmart recommends adding
- If you sell on Amazon too, compare price and availability parity. Walmart's pricing tools flag items priced above competitors elsewhere.
- API users: Walmart's legacy Refund Performance Metrics and Refunded Orders Report endpoints are scheduled for removal on 27 March 2027. Move to the Returns and Item-Not-Received performance APIs before then.
The metrics that matter (reference)
Walmart's Seller Performance APIs and dashboard track these metrics (developer documentation):
- Negative feedback rate
- Return rate
- Item not received rate
- On-time delivery rate
- Valid tracking rate
- Seller response rate
- Refund rate
- Cancellation rate
- Late shipment rate
- Carrier method accuracy, on-time shipment, and ship-from location accuracy (for seller-fulfilled orders using Simplified Shipping Settings)
Datasets refresh every 24 hours and can be pulled for 14-, 30-, 60-, or 90-day windows. For the minimum standards that keep an account in good standing, Walmart's Seller Performance Standards (opens in a new tab) guide states these US thresholds: cancellation rate at or below 2%, on-time delivery at or above 90%, and valid tracking rate at or above 99%. The same on-time delivery and valid tracking floors are restated in Walmart's Shipping and Fulfillment Policy. Check the current table in Seller Center before you set internal targets, because Walmart updates the standards.
Walmart is not Amazon: five differences that change how you manage it
- Different performance rules and tiers. Walmart's Pro Seller tiers put weight on shipping speed, content quality, and price competitiveness together. Account-health metrics are Walmart's own (cancellation, on-time delivery, valid tracking), not Amazon's order defect rate.
- Price competitiveness is measured against the wider market. Walmart's tools compare your price with competitor prices, including on other sites. Price-parity discipline across channels matters.
- Its own item setup and attributes. Walmart uses its own item specifications, and missing attributes hurt discoverability. Don't copy Amazon flat files one-to-one.
- A separate ads platform. Walmart Connect has its own formats, eligibility rules (including the Buy Box requirement for Sponsored Products), and reporting.
- Its own fulfilment programme. WFS is Walmart's equivalent of a fulfilment network, with its own inbound rules and fees. Decide SKU by SKU.
In-house or agency?
Running Walmart in-house works well if one person owns the daily and weekly lists above and you have clean inventory sync across channels. Consider outside help if:
- Walmart is one of several marketplaces and nobody owns it day to day
- You're stuck below Pro Seller on one or two metrics and can't find the root cause
- You're entering Walmart US from the UK or elsewhere and need US-hours operations
